At Prognostica, we are committed to providing high-quality professional coaching services that meet your needs and expectations. We understand that circumstances may arise that require cancellation or refund requests. This Refund Policy explains our policies regarding refunds, cancellations, and related matters for our interview coaching, public speaking training, and oratory skills development services.
2. General Refund Principles
Our refund policy is based on the following principles:
- Completed coaching sessions are non-refundable as the service has been delivered
- Refunds are calculated based on unused sessions only
- Administrative fees may apply to refund processing
- Refund eligibility depends on the type of service purchased and timing of the request
- All refund requests must be submitted in writing
3. Initial Consultation Refund Policy
3.1 Free Consultations
If you have scheduled a free initial consultation, no payment is required, and therefore no refund applies.
3.2 Paid Consultations
For paid initial consultation sessions:
- Before the Session: Full refund available if you cancel at least 48 hours before the scheduled consultation
- 24-48 Hours Before: 50% refund available if you cancel between 24-48 hours before the scheduled consultation
- Less Than 24 Hours: No refund available for cancellations made less than 24 hours before the scheduled consultation
- After Completion: No refund available once the consultation has been completed
4. Single Session Refund Policy
For individual coaching sessions purchased separately (not as part of a package):
- Before the Session: Full refund available if you cancel at least 24 hours before the scheduled session
- Less Than 24 Hours: No refund available for cancellations made less than 24 hours before the scheduled session
- No-Show: No refund available if you fail to attend the scheduled session without prior notice
- After Completion: No refund available once the session has been completed
5. Package Program Refund Policy
5.1 Multi-Session Packages
For coaching packages consisting of multiple sessions (e.g., 5-session, 10-session, or custom packages):

5.2 Package Calculation Example
Example: You purchased a 10-session package for $1,000 ($100 per session with package discount). After completing 3 sessions, you request a refund.
- Single-session rate: $150
- Cost of 3 completed sessions at single rate: $450
- Remaining package value: $1,000 - $450 = $550
- Administrative fee (20%): $110
- Refund amount: $550 - $110 = $440
6. Comprehensive Program Refund Policy
For comprehensive multi-month coaching programs with custom curriculum:
- Within 14 Days of Start: 70% refund available if you have completed no more than 2 sessions and request within 14 days of program start
- 15-30 Days After Start: 50% refund for unused portion of the program, minus completed sessions charged at single-session rates
- After 30 Days or 25% Program Completion: No refund available; payment plans may be adjusted for financial hardship (see Section 10)
7. Special Circumstances for Refunds
7.1 Coach-Initiated Cancellation
If we need to cancel a session due to coach unavailability, illness, or other circumstances:
- We will offer to reschedule at a mutually convenient time at no additional charge
- If rescheduling is not possible or acceptable to you, you will receive a full credit for that session
- If you prefer a refund over rescheduling or credit, a full refund for that session will be provided
7.2 Service Quality Issues
If you are dissatisfied with the quality of services provided:
- Please contact us within 7 days of the session in question
- We will investigate your concerns and may offer a complimentary replacement session or partial refund
- Refunds for quality issues are considered on a case-by-case basis
- Documentation of specific quality concerns may be required
7.3 Technical Issues
For online sessions affected by technical difficulties:
- If technical issues on our end prevent session completion, you will receive a full credit or refund for that session
- If technical issues on your end prevent session completion, standard cancellation policies apply
- We will make reasonable efforts to reschedule sessions disrupted by technical problems
7.4 Medical or Emergency Situations
We understand that unexpected circumstances arise. In cases of serious illness, family emergency, or other extraordinary circumstances:
- Please contact us as soon as possible to discuss your situation
- We may offer extended time to complete purchased sessions (typically 3-6 month extension)
- Partial refunds may be considered with appropriate documentation
- Each situation is evaluated individually with compassion and flexibility
8. Non-Refundable Items and Services
The following are non-refundable under all circumstances:
- Completed coaching sessions
- Downloadable materials, worksheets, or digital resources that have been accessed
- Recorded sessions that have been delivered
- Custom-prepared materials specifically created for your coaching program
- Sessions missed due to client no-show (less than 24 hours notice)
- Administrative fees associated with refund processing
- Third-party fees (payment processing fees, platform fees, etc.)
9. Refund Request Process
9.1 How to Request a Refund
To request a refund, please follow these steps:
- Submit a written refund request via email to [email protected]
- Include your full name, contact information, and booking/invoice number
- Clearly state the reason for your refund request
- Specify which sessions or services you are requesting a refund for
- Provide any supporting documentation if applicable (medical certificates, etc.)
9.2 Processing Timeline
Refund requests are processed according to the following timeline:
- Acknowledgment: We will acknowledge receipt of your refund request within 2 business days
- Review: Refund requests are typically reviewed within 5-7 business days
- Decision Notification: You will receive written notification of our decision within 7-10 business days
- Payment Processing: Approved refunds are processed within 7-14 business days of approval
- Refund Receipt: Depending on your financial institution, refunds may take an additional 3-10 business days to appear in your account
9.3 Refund Method
Refunds will be issued to the original payment method whenever possible. If this is not possible, alternative arrangements will be made (bank transfer, check, etc.). We do not provide cash refunds.
10. Payment Plan and Financial Hardship
We understand that financial circumstances can change unexpectedly. If you are experiencing financial hardship that affects your ability to complete a program:
- Contact us to discuss your situation as early as possible
- We may be able to adjust your payment schedule or pause your program temporarily
- In some cases, we may offer a modified program that fits your budget
- While we cannot guarantee refunds for financial hardship, we will work with you to find a reasonable solution
11. Promotional and Discounted Services
Special refund conditions may apply to promotional or discounted services:
- Services purchased during special promotions are subject to this standard refund policy unless explicitly stated otherwise
- Bonus or complimentary sessions included with package purchases are non-refundable
- Refunds for discounted packages are calculated based on the discounted price paid, not standard rates
- Promotional codes or discounts are not transferable and cannot be refunded for cash value
12. Chargebacks and Disputes
Important Notice: Filing a chargeback or payment dispute without first attempting to resolve the matter with us directly may result in immediate suspension of services and may be considered a breach of our Terms and Conditions.
If you have a billing concern or dispute:
- Please contact us directly first to resolve the issue
- Most billing concerns can be resolved quickly and amicably through direct communication
- We maintain detailed records of all services provided and payments received
- Unjustified chargebacks may be challenged, and you may be liable for chargeback fees and legal costs
13. Modification of Refund Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website with an updated "Last Updated" date. Your purchase of services after changes have been posted constitutes acceptance of the modified policy. The policy in effect at the time of your purchase governs your refund rights for that purchase.

We recognize that unusual circumstances may arise that are not specifically addressed in this policy. In such cases:

- We will review special cases individually and make decisions in good faith
- Any exceptions to this policy must be approved in writing by management
- Granting an exception in one case does not create an obligation to grant similar exceptions in other cases
